1. Who we are
Velgent (“Velgent”, “we”, “us”) is a software company based in Melbourne, Australia. We build AI building blocks for enterprise IT operations, delivered through velgent.com (the “Site”), the public Triage trial at velgent.com/try (the “Trial”), and the Velgent AI Engine and its consoles (the “Service”).
This policy explains how we handle personal information under the Australian Privacy Act 1988 (Cth) and the Australian Privacy Principles. Where visitors are located in the UK or European Economic Area, we aim to handle personal data consistently with the UK and EU GDPR.
2. What we collect
Contact and demo forms. When you contact us or request a demo we collect your name, work email, company, company size, the product you currently use, and any message you include.
Trial email gate.After the free anonymous runs on the Trial, you can provide an email address to unlock more runs. We record that email, your company’s domain, and a timestamp. We do not create an account or store a password.
Trial content. Text you paste into the Trial is processed to produce the result and is not stored — our systems keep operational metadata only (for example request counts, latency, and guardrail telemetry such as how many items were redacted), never the text itself.
Site analytics. We use Google Analytics 4 and Vercel Analytics to understand how the Site is used (pages viewed, approximate location, device and browser type). Google Analytics sets cookies; see section 6.
Bot protection. Cloudflare Turnstile runs on our forms and the Trial to distinguish people from bots. It processes technical signals from your browser for that purpose.
Service data.If your organisation is a Velgent customer, we process the content your systems submit to the Service on your organisation’s behalf and per its configuration — see section 8.
3. How we use personal information
- To respond to your enquiry or demo request and follow up about Velgent products.
- To operate the Trial, including granting additional runs against your email and following up about your experience.
- To operate, secure, and improve the Site and the Service, including rate limiting and abuse prevention.
- To meet our legal obligations.
We do not sell personal information, and we do not use the content you submit to the Trial or the Service to train models.
4. Who we share it with
We share personal information only with the service providers that run parts of the Site and Service for us:

Customers using bring-your-own-key send AI content to the LLM provider they choose, under their own agreement with that provider. We may also disclose information where required by law.
5. Overseas disclosure
The Velgent AI Engine and its databases are hosted in Australia on Google Cloud. Some of the providers above — including Anthropic, Vercel, Cloudflare, WorkOS, Resend, and Slack — process data in the United States or on global networks. Where personal information leaves Australia, it goes only to the providers named in section 4, for the purposes described there, under those providers’ contractual and security commitments.
6. Cookies & analytics
The Site uses cookies set by Google Analytics 4 to measure site usage, and functional storage in your browser to remember Trial state (for example, the email you used to unlock extra runs — stored locally on your device). You can block or clear cookies in your browser settings; the Site works without them. You can also opt out of Google Analytics with Google’s browser add-on.
7. Security
All traffic to the Site and Service is encrypted in transit with TLS. Secrets and provider keys are encrypted at rest. Access to production systems is limited, authenticated with MFA, and privileged administrative actions are audit-logged. Our full security posture is described on the Trust & Security page.
8. Retention
Enquiry and trial-lead details are kept while relevant to our sales relationship, and deleted on request. Trial content is not stored. For customers of the Service, content logging and retention are controlled by per-tenant settings, with stored log content automatically purged after the configured retention window; details are set out in the customer’s agreement.
9. Access, correction & your rights
You can ask us to access, correct, or delete the personal information we hold about you through our contact form — choose “Privacy or legal enquiry”. We’ll respond within a reasonable time. If you’re in the UK or EEA, you may also have rights to restrict or object to processing and to data portability, and we’ll honour those requests.
10. Data breaches & complaints
We assess suspected data breaches under the Notifiable Data Breaches scheme and will notify affected individuals and the regulator where required. If you have a privacy concern, contact us first through our contact form — we take complaints seriously and will respond promptly. If you’re not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au).
11. Changes to this policy
We’ll update this page when our practices change — for example, when we add a service provider — and revise the date at the top. Material changes to how we handle customer data are communicated to customers directly.
